Trigger Event Email Templates

A trigger event is a change at the prospect's company that gives you a real reason to write: a new leader, a funding round, a hiring push, a launch or a past customer joining. These templates lead with the trigger and connect it to the problem it creates. Gong Labs found emails built on company news and milestones tripled reply rates from directors and above.

Something just changed at their company: a new job, funding, a hire, a launch. The change is your reason to write, so lead with it.

{{Purple}} fields are merge fields your sending tool can fill. [Amber] lines are the part you research and write for each person. That part is what gets the reply.

Trigger event emails

They started a new role

In their first 30 to 90 days, when new leaders review tools and set plans.

Subject: your first quarter at {{companyName}}

Hi {{firstName}}, Congrats on the move to {{companyName}}. [One detail about the team or goal you're taking on.] Most [job title]s in their first quarter take a hard look at [area you help with]. When [peer] joined [company], they [what they changed, and the result]. If [area] is on your list, happy to share what worked. Useful? {{senderName}}

Why it works: New leaders are looking for early wins and haven't committed to their predecessor's vendors. UserGems' advice for people who've changed jobs: don't ask for a meeting in the first email, focus on them first. This one asks if the idea is useful, nothing more. (58 words)

They raised a round

Two to six weeks after a funding announcement, once the press wave has passed.

Subject: after the [round]Or try: {{companyName}}'s next [goal]

Hi {{firstName}}, Congrats on the [round]. [The growth plan they announced, e.g. "Doubling the sales team by Q2"] is a big lift. Teams at that stage usually run into [problem, e.g. "new reps with no pipeline to work"]. We helped [similar company] [result] right after their raise. Worth comparing notes on how they did it? {{senderName}}

Why it works: A raise comes with public goals and new budget. Tying the email to the goal they announced, not the money, shows you read past the headline. Gong Labs found company-news openers tripled executive reply rates. (56 words)

They're hiring for a role you support

When a job post shows they're building a team your product helps.

Subject: your [role] openingOr try: hiring [role]s at {{companyName}}

Hi {{firstName}}, Glad to see {{companyName}} hiring [number] [role]s. The post mentions [a specific duty or tool from the listing]. New [role]s usually lose their first weeks to [slow task]. [Customer] got theirs productive in [time] by [what they did]. Want the short version of their setup? {{senderName}}

Why it works: A job post is a public list of their priorities. 30 Minutes to President's Club reads it as a symptom of the problem behind it, and quoting a line from it proves you read it. (48 words)

A past customer joined their company

When someone who used your product at their old company starts somewhere new.

Subject: congrats on {{companyName}}Or try: [previous company] to {{companyName}}

Hi {{firstName}}, Congrats on joining {{companyName}}. It was good working with you at [previous company], where your team [result they got with you]. Happy to help you get a similar setup going there while you settle in. Would that be useful? {{senderName}}

Why it works: They already trust you and have seen the results. UserGems reports past champions convert 114% more and recommends keeping this email to 50 words or fewer. Send it in their first month, before they commit to another tool. (42 words)

They announced something

After a launch, expansion, acquisition or big customer win.

Subject: the [announcement]Or try: {{companyName}} going into [market]

Hi {{firstName}}, Congrats on [the announcement]. [One specific detail from it.] Moves like that usually mean [knock-on problem, e.g. "support volume in a new time zone"]. We handled exactly that for [similar company] when they [similar move]. Is [problem] on your plate yet? {{senderName}}

Why it works: It connects their news to the problem it creates next, which is more useful than a congratulations alone. Jason Bay's version: "As you [trigger], we usually hear that [problem] becomes a problem." (44 words)

They spoke on a podcast or wrote an article

Within a couple of weeks of them publishing or speaking.

Subject: your point about [topic]Or try: your [podcast or article]

Hi {{firstName}}, Listened to you on [podcast]. Your point that [their specific claim] matches what we see with [type of customer]. The part you didn't get to: [a related problem]. [One line on how you help, or a result.] Open to swapping notes on it? Either way, thanks for the episode. {{senderName}}

Why it works: Becc Holland ranks something the prospect wrote or said as the strongest reason to reach out, because it's personal in a way a merge field can't fake. Hunter found hand-edited emails outperform fully automated ones by 18%. (52 words)

Frequently Asked Questions

What are the best trigger events for sales outreach?

Ones that create a problem you solve: a new leader reviewing tools, funding with public growth goals, a hiring push, a past customer starting a new job, or a launch. 30 Minutes to President's Club suggests ranking five to ten triggers and writing a template for each.

When should I email after a funding announcement?

Once the press wave has passed, roughly two to six weeks later, and tie the email to the goal they announced rather than the money. Everyone writes on day one; the goal is still relevant a month later.

How do I reach out to a past customer who changed jobs?

Within their first month, remind them of the result they got with you and offer to help set up the same thing. UserGems reports past champions convert 114% more and recommends keeping the email to 50 words or fewer.

Is "congrats on the new role" too generic?

On its own, yes. Follow it straight away with what new leaders in that role usually tackle first and what a peer changed, so the congratulations leads somewhere useful.
